Terms and Conditions

GENERAL

The Creativity Conference is organised and managed by Creativity Conference Limited.

These Terms & Conditions apply to every person participating in the Creativity Conference, to be held in Reykjavík, Iceland, in multiple destinations around the world, and online – all organised by Creativity Conference Limited (the “Conference Organiser” or “Event Organiser”).

The Conference Organiser reserves the right to change, amend, add or remove any of these Terms & Conditions in their sole discretion and without prior notice. Should one or more of the conditions outlined in these Terms & Conditions become invalid, the remaining conditions will continue to apply. For the purposes of these Terms & Conditions, the terms “Participant” and “Participants” refer to any individual or entity engaging with the Conference Organiser, including (but not limited to) attendees, speakers, contributors, sponsors, exhibitors, partners, and stakeholders.

The views expressed by Participants are not necessarily those of the Conference Organiser.  All Participants are solely responsible for the content they produce, including (but not limited to) presentations, marketing materials, advertisements, social media posts, written contributions, recorded interviews, and livestreamed content.

ATTENDING

Conference Organisers reserve the right to refuse participation, including as an attendee or speaker, for any reason.

Registration for the conference is a requirement for attendance.

Registration

Conference registration is required to attend events. Enquiries relating to registration and payment can be sent to register@creativityconference.is.

Tickets/registration can be obtained on our official website: www.creativityconference.is.

Student discounts

Students must present proof of fulltime enrolment at a recognised university or college at the time of registration.

Cancellation

Notice of cancellation must be made in writing by email to register@creativityconference.is.

No explanation is required for cancellation. There is an administration fee of 5% of the refund amount for cancellation (to help offset our transaction charges, which we normally absorb when tickets are purchased but can’t reclaim when arranging a refund).

Refunds are offered as follows:

  • 3 months or more before the conference: 100% refund

  • Up to 3 months before the conference: 75% refund

  • Up to 2 months before the conference: 50% refund

  • Up to 1 month before the conference: 25% refund

  • Up to 1 week before the conference: No refund possible

Our right to cancel or postpone

The Conference Organiser reserves the right to cancel or postpone events. This may be in response to low attendance or unforeseen factors that are beyond our control. The decision to cancel or postpone will be made entirely at the discretion of the Conference Organiser.

In the event that an event is cancelled or postponed, we will offer to refund your registration fee or may offer to transfer your registration to new event dates. No further liability will be assumed by the Conference Organisers in the event of cancellation (see Liability, in this agreement).

No refund will be given if a registrant fails to attend an event without cancelling.

No refunds will be given if event plans change after registration; for example, in the case of one or more speakers cancelling or being replaced, or lack of available space in a particular presentation room to attend a session. The Event Organiser is committed to honouring the spirit of all planned events and changes may be necessary to bring a particular event to the world.

Liability

By registering, Attendees agree that neither the Conference Organiser nor their partners assume any liability whatsoever. Participants are requested to make their own arrangements for health and travel insurance. The conference fee does not include insurance.

In the event that the Conference Organiser decides to cancel or postpone an event, the Conference Organiser cannot be held liable for any damages, costs, or losses incurred, such as (but not limited to) pre-booked transportation or accommodation costs, financial losses, etc.

The Conference Organiser shall be held liable only for a duty of care as a respectable business according to statutory requirements. The liability of the Conference Organisers – for whatever reason – shall be limited to intent and gross negligence. The liability of commissioned service providers shall remain unaffected by this limitation. Delegates take part in the conference at their own risk. Oral agreements are not be binding unless confirmed in writing by the Conference Organiser.

Changes to the conference

The Conference Organisers reserve the right to modify the contents of the conference at any time. No refunds will be granted in the case of cancellation of speakers, lack of space in an event room or any other incidents during an event which are beyond the control of the Conference Organiser.

Letter of invitation

Individuals requiring an official Letter of Invitation from the Conference Organisers can request one by emailing register@creativityconference.is. To receive a Letter of Invitation, Participants must first register.

The Letter of Invitation does not financially obligate the Conference Organiser in any way. All expenses incurred in relation to the conference, the registration and the attendance are the sole responsibility of the individual attending.

The Conference Organisers are committed to data privacy and protecting your personal information.

By registering, you agree that the Conference Organisers and its partners may send you conference-related information.

The Conference Organisers use the personal data you provide when registering to administer your participation. This may include sending you information about the event, event logistics, payments, updates, and additional information related to the event.

The Conference Organiser may disclose your personal data to third party service providers engaged to assist in the conduct of the event.  Information you provide when registering for or participating in an event managed or co-sponsored by parties other than or in addition to the Conference Organiser may be shared with those parties, and the treatment of such information is further subject to the privacy policies of those parties.  Except as described herein, the Conference Organisers will not disclose your personal data to any other third party without your consent unless required by law.

Recording the event

It is the Conference Organiser’s intention to record video and to photograph Participants throughout all events for the purposes for public distribution during, and after the event.

Delegates agree to their likeness, name, occupation, public website and social media being captured, edited,  and distributed publicly by the Event Organiser during and after the event for any purpose and via any medium at the sole discretion of the conference organisers.

Non-discrimination policy

The Conference Organisers prohibit discrimination, harassment, and bullying against any person for any reason—for example, because of age, ancestry, colour, disability or handicap, national origin, race, religion, gender, sexual or affectional orientation, gender identity, appearance, matriculation, political affiliation, marital status, veteran status, or any other characteristic protected by law.

Visa requirements

It is the sole responsibility of the Participant to manage their visa requirements. Participants who require an entry visa must allow sufficient time for the application procedure. Delegates should contact the nearest Icelandic embassy or consulate to determine the appropriate timing of their visa applications.

The Conference Organisers will not directly contact embassies or consulates on behalf of visa applicants.

Individuals requiring an official Letter of Invitation from the Conference Organisers can request one by emailing register@creativityconference.is. To receive a Letter of Invitation, Delegates must first register.

Travel insurance

The Conference Organisers accept no liability for Participant travel insurance. Participants are encouraged to obtain appropriate insurance for their entire trip.

Competition and raffle prizes

Prizes are normally contributed by partners and sponsors and delivered directly by them to winners. Monetary values quoted for prizes are estimated and for information purposes only - no cash alternative is offered.

Under International law, there are restrictions on countries to which items can be shipped. As a consequence, the following countries are excluded from competitions and raffles: North Korea, Iran, Syria, Russia, Cuba, and Iraq.

CONTRIBUTORS TO THE CONFERENCE

Speakers, creatives, support workers, interns, and any other contributors to the conference must agree to the following terms:

Representing the Conference Organiser

Contributors are likely to be seen by Participants as representative of the Conference Organiser. While no additional liability or authority is implied, it is anticipated that contributors will conduct themselves with a high level of professionalism and integrity.

In the event that any form of conflict or emergency might arise, contributors must immediately inform the Conference Organiser.

Contributor information sharing

We may share contributor names, contact and biographical information with event attendees and make such information publicly available. We publish such information on the conference website, social media services and in press releases. Event attendees and contributors may contact you with questions and requests for more information and provide feedback.

Recording contributors

It is the intention of the Conference Organiser to capture video, audio, and photographic recordings of contributions to events and their Participants.

It is the intention of the Conference Organisers to distribute captured material publicly, during and after the conference for any purpose, at the sole discretion of the Conference Organisers.

Contributors will be asked to complete a release agreement to assign full non-exclusive moral rights to the Conference Organisers for this purpose.

Contributors may request copies of captured materials relating to their contributions and attendance, and will be welcome to use those materials at their sole discretion under similar full non-exclusive moral rights.

LEGAL TERMS

Indemnification

You agree to defend, indemnify and hold harmless the Conference Organiser and their affiliates, officers, directors, employees and contractors from any demands, claims, damages, liabilities, expenses or harms, including legal fees, arising in connection with your participation in the Creativity Conference.

Jurisdiction

This agreement shall be governed by and construed in accordance with English law (in the United Kingdom) and all parties agree that the English courts shall have jurisdiction in relation to this agreement.

Replacing these terms

Should any written agreement with Creativity Conference Limited be signed after the date on which these terms were updated, terms in the newer document that contradict the terms presented here will be considered to have replaced these terms. Where there is no direct conflict in the terms presented in the two documents, the combined terms presented here and in the newer agreement will be considered to be part of a collection of agreed terms.
